Check out and check in
Pick up a booked pool vehicle by scanning its QR sticker, bring it back with the odometer reading, and what managers do with a reading that looks wrong.
Can't find this in your app? Your business owner can switch the Pool Bookings module off, which hides it for everyone — there's no message when that happens. An owner or admin can turn it back on in Settings → Business settings → Active Modules.
Checking out says you've picked the vehicle up. Checking in says it's back. The two together give the pool an honest record of who had the vehicle, for how long and how far it went.
Check out
You can check out from 15 minutes before your booking starts. Your business can change that window in Booking Rules.
At the vehicle, open the Axlerun app on your phone and tap Scan QR on the booking card on Home, or open the booking and choose Scan the QR Code.
Point your camera at the QR sticker on the windscreen. Axlerun matches the sticker to your booking.
If the Booking Rules ask for them, note the Fuel level and the Cleanliness as you found the vehicle, then tap Check Out.
Scanned a different vehicle from the one you booked? Axlerun offers Switch my booking to move your booking onto it. The camera is only used to read the code; nothing is recorded or saved.
If your business doesn't require a scan, you can also tap Check Out straight from the booking. When Require a scan to check out is on, the scan is the only way out.
Check in
Open the booking (or the card on Home) and tap Check In, or scan the sticker again.
Enter the Odometer (km) if your business asks for it. It can't be lower than the reading at check-out.
Add Fuel, Cleanliness and a Note if asked. A note about how you left the vehicle helps the next driver.
Found damage? Tap Report damage to add a condition report with photos. Then tap Check In.
Undo a mistake
Checked out or in by accident? Open the booking, choose Adjust booking, then Undo Check-Out or Undo Check-In. You have 10 minutes by default; your business sets the window in Booking Rules.
A pool manager who scans a sticker for a booking of their own is treated as the driver on it, not as a manager acting for someone else. You get your own check-out, with no reason to give.
Managers checking out or in for a driver
A manager can check a vehicle out or in on a driver's behalf, for example when the driver hands the keys over at the depot. Open the booking, tap Check Out or Check In, and give a reason. The reason stays on the booking, so it's clear who did it and why.
Odometer readings that need a check
When a check-in reading looks wrong, Axlerun flags it for a pool manager instead of trusting it. The driver sees it as Being checked by a manager; the manager sees Awaiting your check on the booking.
The manager opens the booking and either:
- Approves it with Approve Odometer Reading, as entered or with a Corrected Reading (km). The driver's own entry is kept alongside the correction, shown as Driver Entered.
- Rejects it with Reject Odometer Reading and a note saying why.
Distance in Utilisation and in a vehicle's Driver History comes from these readings and from trips, so clearing flagged readings keeps both honest.
If the business drops below Turbo while a vehicle is out, whoever has it can still check it in. A plan change should never leave a vehicle checked out with no way to return it.
Running late, or need to change the booking?
