Allocate a vehicle to a driver

Assign a vehicle to a driver for a set period so their trips record against it. Here's how, including start and end dates.

Allocating a vehicle to a driver is what ties their trips, fuel and fines to the right vehicle. Until a vehicle has a driver, nothing records against it automatically. Owners and admins do this; drivers can't allocate vehicles.

Allocate a driver

  1. Open the vehicle's profile and tap the Driver card (or Change Allocation in the menu).

  2. Pick someone from Available Drivers. Drivers already on another vehicle appear under Allocated Drivers with their current assignment.

  3. Set the Allocation Period — a Start date & time, and an optional End date & time. Leave the end blank for an open-ended allocation ("No end (indefinite)").

  4. Tap Confirm Allocation.

No drivers to choose from? You need to invite them first — see Invite your team. The allocate screen points you the same way: "Invite drivers from the business settings."

See the whole fleet's allocations

For the fleet-wide picture, open Vehicle Allocation from the home dashboard. It lists every vehicle as Allocated or Available for the month, with a navigator to move between months. Tap any vehicle to open its profile.

Allocating versus changing the driver

Allocating is the manager assigning a vehicle for a period. When a driver needs to swap the vehicle they're actually in — a shared-pool handover — that's a different, driver-led flow. See Change who's driving.
