Leases and ownership
Record how each vehicle was acquired, what it cost and when its lease ends, then see every lease ending soon in one list.
Ownership records hold the paperwork side of a vehicle: whether you bought it, financed it or lease it, who from, what it cost and when the lease runs out. Owners and admins keep them; drivers don't see them.
Record a vehicle's ownership
Open the vehicle and, in its Manage grid, tap Ownership, then Add Ownership.
Choose the Type: purchase, finance, lease, novated lease or rental.
Add the Supplier (the Lessor, for a lease), the date it was acquired and a reference or Contract Number.
Under Price, add the Price ex GST ($), GST ($), Stamp Duty ($) and On-Road Costs ($). Each one is optional.
For a lease, set the Lease Start and Lease End, the payment and how often it's Paid Every. Add any Notes, then tap Save Ownership.
A driver-owned vehicle can only be recorded as a novated lease. To record a purchase, finance, lease or rental, change the vehicle to business-owned in its vehicle details first. Novated vehicles are driver-owned, so they can't join a pool.
Leases ending soon
Open Settings then Leases & Ownership to see every lease across the fleet that ends within the next 30, 60, 90 or 120 days. Pick the window at the top.
Each row shows the vehicle, the type, the supplier, the lease end date and how many days are left, soonest first. Tap a row to open the vehicle's ownership record.
Start the conversation with the lessor at 120 days, not 30. That's time to decide whether to extend, buy out or replace the vehicle, and to line up the next one.
Leases and pool bookings
When a pool vehicle's lease is ending, a warning shows to anyone booking it, so nobody plans a long job around a vehicle that's about to go back. See Book a vehicle.
