Vehicle inventory

A photo stocktake of the tools, equipment and accessories kept in each vehicle — so you know what's supposed to be on board, and can prove what was.

Can't find this in your app? Your business owner can switch the VehicleInventory module off, which hides it for everyone — there's no message when that happens. An owner or admin can turn it back on in Settings → Business settings → Active Modules.

Most work vehicles carry thousands of dollars of gear that appears on no list anywhere. Vehicle inventory is that list: what lives in this ute, what it looks like, and where it's kept — with photos, so a handover, an insurance claim or a theft report has something behind it.

Add an item

  1. From the vehicle's Manage grid tap Inventory, then + Add.

  2. Give it an Item Name — "Motorola walkie-talkie (pair)", "Hilti SDS drill".

  3. Use Description for where it lives, a serial number, or anything else worth noting. It's optional, but a serial number is the difference between a police report that goes somewhere and one that doesn't.

  4. Add Photos and save.

Why the photos matter

An item's photos are the record. When a vehicle changes hands between crews, "the drill was in the back" is an argument; a dated photo of the drill in the back is not. The same goes for an insurance claim — insurers ask what was in the vehicle, and a stocktake with pictures answers that in a way a memory doesn't.

Pair this with a condition report at handover. The condition report covers the state of the vehicle; the inventory covers what was inside it.

It's on the free plan

Vehicle inventory is available on Drive, so every business can keep one regardless of plan.

Inventory lives per vehicle — open the vehicle to see or edit its list. There's no fleet-wide inventory roll-up in the app yet.
