Axlerun ("we", "us", or "our") is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website and use our services.
1. Information We Collect
Information you provide
- Contact information: name, email address, phone number
- Account data: login credentials you create, or sign-in tokens from Apple Sign In or Google Sign In if you use those options
- Fleet data: vehicle registration details, service records, fuel logs, trip data, insurance records, document scans (e.g. fines, fuel receipts)
- Payment information: processed directly by Stripe (web) or Apple App Store / Google Play (mobile) — we never see your full card or bank details
- Waitlist data: email address submitted via our waitlist form
Information collected automatically
- Device information: browser type, operating system, device model, app version, build number
- Usage data: screens viewed, features used, time spent, in-app events (such as trip classifications, vehicle additions, paywall views) — collected through PostHog and used to improve the product
- Diagnostic data: crash reports, error stack traces and breadcrumbs — collected through Sentry to help us fix bugs
- Approximate location: for features like nearest fuel station — only with your consent
- Vehicle location data: continuous GPS coordinates while a trip is being logged — see Section 5 for full details

2. How We Use Your Information
We use your information to:
- Provide, maintain, and improve our fleet management services
- Send registration and compliance alerts
- Generate ATO-compliant FBT logbook reports
- Process subscription payments and manage your plan
- Communicate with you about your account, updates, and promotions
- Process waitlist registrations and notify you of launch
- Analyse usage patterns and diagnose issues to improve our product
- Comply with legal obligations
3. How We Share Your Information
We do not sell your personal information. We share data with the following service providers (sub-processors), only as needed to operate the service:

4. Overseas Disclosure (APP 8)
Some of the service providers listed in Section 3 are based outside Australia. By using Axlerun, you consent to your personal information being disclosed to recipients in the European Union (PostHog, Sentry) and the United States (Vercel, RevenueCat, Resend, Google, Apple).
We choose providers that meet recognised data-protection standards — EU providers are GDPR-bound, US providers are bound by their published Data Processing Agreements — but you should be aware that the privacy regimes in those jurisdictions differ from Australia's.
5. Background Location Data
Axlerun's auto-logging feature requires continuous background GPS to produce an accurate FBT-compliant logbook. We want to be specific about how this works:
- Location collection is off by default. You enable it via Settings → Logging Hours. Setting Logging Hours to "Never" turns it off.
- While enabled, your device records GPS coordinates locally and uploads them to our Azure backend in batches.
- Location data is used only to construct your trip logbook. It is not shared with advertisers, sold, or used for any other purpose.
- You can pause collection at any time by changing Logging Hours, revoking the OS permission, or signing out.
- Trip data is retained while your account is active and for the period required for ATO record-keeping (currently 5 years).
6. Data Storage and Security
The Axlerun app — including your account, fleet records, trip data, documents, and payment metadata — is stored on Microsoft Azure in the Australia Southeast region (Melbourne). Only our public marketing website at axlerun.com.au is hosted on Vercel in the United States; the waitlist form on that page submits directly to Resend (see Section 3) and does not pass through Vercel storage.
We use industry-standard encryption in transit (TLS) and at rest. While no system is 100% secure, we take reasonable steps to protect your information from unauthorised access, alteration, or destruction.
7. Cookies and Mobile Analytics SDKs
On the website, we use essential cookies to operate the site and analytics cookies (via Vercel Analytics) to understand how visitors use it. You can control cookie preferences through your browser settings.
In the mobile app, we use the PostHog SDK for product analytics and the Sentry SDK for error tracking, as described in Section 3. These SDKs use device storage rather than browser cookies; you can opt out by deleting the app.
8. Your Rights
Under the Australian Privacy Act 1988, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information
- Opt out of marketing communications at any time
- Withdraw consent for data processing, including for background location and product analytics
- Lodge a complaint with the Office of the Australian Information Commissioner if you believe we have mishandled your information

9. Third-Party Links
Our website may contain links to third-party sites. We are not responsible for the privacy practices of those sites and encourage you to read their privacy policies.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website with a revised "Last updated" date. Material changes — including adding new sub-processors or new categories of personal information — will also be flagged in-app.
