Privacy Policy

Axlerun is made by Axle Group Pty Ltd (ACN 701 744 229) (“Axlerun”, “we”, “us”). This policy explains what personal information we collect, why, who we share it with and how you can control it. It covers the Axlerun app on iOS, Android and the web (app.axlerun.com.au), the customer job-tracking page (customer.axlerun.com.au) and this website. We handle personal information under the Australian Privacy Act 1988 and the Australian Privacy Principles.

1. Who this policy is for

Four kinds of people touch Axlerun. What we hold, and who can see it, depends on which one you are.

  • Business owners and admins who set up a business in Axlerun and manage its vehicles and drivers.
  • Drivers invited into a business by its admins. Section 5 is written for you.
  • Customers of an Axlerun business whose details are entered into the jobs module, or who open a job-tracking link.
  • Visitors to this website.

2. What we collect

Information you give us

  • Account: name, email address, phone number, and a password, or a sign-in token if you use Apple or Google sign-in. An optional profile photo.
  • Business: business name, ABN, logo, and the plan you're on.
  • Fleet records: vehicles and registration details, odometer readings, fuel purchases, services and maintenance, insurance, safety inspections, tolls and toll tags, fines, incidents, condition reports, expenses, vehicle inventory photos, and any receipts, notices or documents you upload.
  • Trips: the business or private classification you give each trip, and any edits you make.
  • Your customers: if you use the jobs module, the names, addresses, phone numbers and job notes you enter for your customers. You are responsible for having collected those lawfully.
  • Website forms: your email for the waitlist or newsletter, and name, email and message for the contact and account-deletion forms. The marketing tick-box on the contact form is off by default.

Information collected automatically

  • Location: GPS coordinates, speed and timestamps while trip logging is on. Section 4 has the detail.
  • Motion: your phone's motion and activity data, used to detect when you start and stop driving so the app can log trips without draining the battery.
  • Device and app: device model, operating system, app version, build number, a push-notification token, and a random install ID we generate on your device. The install ID isn't your advertising ID and is never sent to our own API; it only helps us match a crash report to an analytics timeline.
  • Usage: which screens and features you use and events such as adding a vehicle, classifying a trip or viewing a paywall, sent to PostHog. We identify you there by account ID, not by name or email.
  • Crashes and errors: stack traces and the steps leading up to an error, sent to Sentry. Names, phone numbers, ABNs and tokens are stripped before anything leaves the device.
  • Web app recordings: in the web app at app.axlerun.com.au, PostHog records how you move through screens so we can fix confusing flows. Anything you type is masked. Recordings are kept for 30 days. Screen recording in the iOS and Android apps is switched off for customers; if we ever turn it on we'll update this policy first.
  • Voice: if you use the assistant, your phone transcribes what you say. On devices that support it this happens on-device; otherwise Apple or Google's speech service does it. Only the text reaches us, not the audio.
  • Website cookies: see section 9.

3. How we use it

To run Axlerun, to bill you, to keep you informed, and to make the product better.

  • Run the app: log trips, keep your fleet records, build logbooks and FBT reports, send rego, insurance and service alerts.
  • Plate lookup: when you add a vehicle we send the plate and state to MotorWeb and fill in make, model, year and registration details for you.
  • AI features: the assistant (Turbo) and document scanning (Turbo) send your message, the recent history of that conversation, a list of your vehicles, or the image you scan to Anthropic, which returns a suggestion. Nothing is saved to your account until you confirm it. Anthropic does not use your data to train its models. It keeps what we send for up to 30 days, during which it may review it for safety reasons, then deletes it; content its safety systems flag can be kept for up to two years. We keep a copy of your assistant conversations in your account (section 10).
  • SMS: Notifyre sends the code to verify your phone number and, on Turbo, job updates to your customers.
  • Bill you and manage your plan through Stripe, the App Store or Google Play.
  • Email you about your account, exports and reports, and, if you've opted in, product news. Every marketing email has an unsubscribe link.
  • Understand how Axlerun is used and fix bugs.
  • Meet legal obligations, and enforce our Terms.

We don't sell personal information, and we don't share location data with advertisers.

4. Location data

Off until you turn it on. Used for the logbook, and for the fleet features your business has switched on.

  • Automatic trip logging is off by default. You turn it on in Settings → Permissions → Trip Logging → Logging Hours. Setting Logging Hours to “Never” turns it off again. You can also pause it for a set time, revoke the location permission in your phone settings, or sign out.
  • While it's on, your phone records GPS coordinates, speed, the vehicle you're allocated to and whether the phone thinks you're driving, and uploads them to our servers in batches. If you're offline the phone keeps up to three days of points and uploads them when it reconnects.
  • What it's used for: building your trip logbook; showing the business's admins the live position of its vehicles and recent activity (Turbo); driver scores and overspeed reports (Cruise and Turbo); and, if the business uses the jobs module, showing a customer the vehicle's position on a map while the driver is on the way to their job (Turbo).
  • Location is never shared with advertisers or sold. The background-location software on your phone (Transistor Software's SDK) sends location only to Axlerun's servers.

5. If you're a driver

Your business controls the fleet data you generate. Here's what its admins can see.

  • Admins of the business you were invited into can see your trips, their classifications, live vehicle location and recent activity (Turbo), your driver scores (Cruise and Turbo), when you paused logging, and which devices you've signed in from.
  • Your employer is responsible for telling you that Axlerun logs trips and for meeting any workplace-surveillance laws that apply in your state.
  • If the business removes you, you lose access to Axlerun. Your trips stay with the business, because it needs them for its records. Your account isn't deleted; ask us if you want it to be.
  • To access or correct your data, start with your business's admin. If that doesn't resolve it, email us.

6. Who we share it with

These are the services that process personal information for us, and only for the purpose listed. We don't give any of them permission to use your data for their own purposes.

We may also disclose personal information:

  • To your business: if you're a driver, to the business that invited you (section 5).
  • To your customers: if a business shares a job-tracking link, the customer sees the job details and the vehicle's position while the driver is en route. No driver name or contact details are shown.
  • When the law requires it: to a government agency, regulator or court.
  • In a business sale: if Axlerun is sold or merged, to the new owner, who must honour this policy.

7. Overseas disclosure

Your account and fleet data are stored in Australia. Some of the services above process data overseas: in the European Union (PostHog, Sentry) and the United States (Anthropic, Apple, Google, Meta, RevenueCat, Resend, Stripe, Vercel). By using Axlerun you consent to those disclosures. We choose providers bound by recognised data-protection commitments, but privacy laws in those countries differ from Australia's.

8. Storage and security

  • The Axlerun API, database and uploaded files run on Microsoft Azure in the Australia Southeast region (Melbourne).
  • The web app and customer page are static files delivered through Azure's global content network; nothing is processed or stored there. This marketing site is hosted by Vercel in the United States.
  • Data is encrypted in transit and at rest. Face ID, Touch ID and fingerprint unlock are handled by your phone; your biometrics never reach us.
  • No system is perfectly secure. If we discover a breach that's likely to cause you serious harm, we'll notify you and the OAIC as the law requires.

9. Cookies and tracking

This website

Essential cookies keep the site working. With your permission we also use Google Analytics, Google Tag Manager and the Meta Pixel to see how the site is used and how our ads perform. These load only after you choose “Accept all” in the cookie banner; choose “Essential only” and they never load. Change your mind any time using “Cookie settings” in the footer. Vercel Analytics counts page views without cookies.

The web app

app.axlerun.com.au uses cookies and local storage for signing in and for PostHog analytics and screen recording (section 2). We don't run advertising trackers in the app.

The iOS and Android apps

No cookies. The PostHog and Sentry SDKs use device storage and a random install ID. Deleting the app clears them.

10. How long we keep it

  • While your account or business is active, we keep everything you've stored, including your assistant conversations.
  • Trip and logbook records are kept for at least as long as the ATO requires a business to keep them, currently five years, because that is the point of the product. We don't currently delete them after that period.
  • Web app screen recordings are deleted after 30 days. Analytics and crash data are kept in aggregate.
  • When you delete your account, or a business removes you, your access ends immediately and your account is deactivated. We don't erase the record: your name, email and phone number, and the trips, documents and assistant conversations tied to your account, stay in our systems and backups so the business's logbook and tax records stay complete. If you want your personal details removed or de-identified, email us and we'll do it where the law lets us.

11. Your rights

  • Access and correction: most of your data is editable in the app. For anything else, email us.
  • Deletion: in the app, go to Profile → Delete my account, or use the form at axlerun.com.au/delete-account. Section 10 explains what deletion does and doesn't remove.
  • Marketing: unsubscribe from any marketing email using the link in it.
  • Location and analytics: turn off trip logging as described in section 4; revoke any permission in your phone's settings.
  • Complaints: email us first and we'll respond within 30 days. If you're not satisfied you can complain to the Office of the Australian Information Commissioner.

12. Changes to this policy

We'll post any change here with a new “Last updated” date. For material changes, such as a new sub-processor or a new kind of data, we'll email account holders at least 30 days before it takes effect.
