For accountants and bookkeepers

The FBT logbook your clients send you, in a form you can check

Every journey with its odometer readings, distance and purpose, the period readings on top, as an Excel spreadsheet you can sort and total.

You have seen the other kind: a paper book with three weeks filled in, a spreadsheet typed up in June, a phone app that exports a map. This page is for the moment a client says they use Axlerun and you want to know what will land in your inbox, whether it will hold up, and what to tell the next client who asks. It is written for you rather than for the business owner, and it does not tell you how to treat anything for tax. That is your job.

What arrives in your inbox

The ATO’s logbook method asks for seven things. Here is where each one sits in the export, which comes as an Excel spreadsheet you can sort and total, or a PDF.

The ATO asks for

A continuous period of at least 12 weeks, representative of the car's use

In the export

The nominated period, with its start and end dates. Axlerun will not produce an export for a period shorter than 12 weeks.

The ATO asks for

Odometer readings at the start and end of the period

In the export

Both readings at the top of the file, with the recorded kilometres for the period beside them. A variance between the two is flagged before export.

The ATO asks for

For each business journey: the date it started and ended

In the export

One row per journey, with its date.

The ATO asks for

Odometer readings at the start and end of each journey

In the export

Start and end odometer on every row.

The ATO asks for

The kilometres travelled

In the export

Distance on every row, and the business-use percentage worked out from the period.

The ATO asks for

The reason for the journey

In the export

The purpose on every business row. A business trip with no purpose blocks the export until it is fixed.

The ATO asks for

One logbook per car

In the export

Each vehicle has its own nominated period. The export can cover one vehicle or the whole fleet.

The file is an .xlsx named for its scope and the date it was produced. The client can download it, share it from their phone through any app, or have it emailed.

Which 12 weeks, and why

The nominated period is the figure you query first. This is how it gets chosen.

Ranked windows, not a guess

Axlerun scans the FBT year and ranks the 12-week windows worth nominating. Each is scored on how complete its evidence is and how closely it matches the vehicle's full-year business use, so a fortnight that flatters the percentage is shown for what it is.

Blockers named before anything is produced

Opening the export runs a dry run. A period that is short of 12 weeks, business trips with no purpose, or odometer readings that do not reconcile with the recorded kilometres are named specifically, worst first.

The period locks once exported

After a period's logbook has been downloaded or emailed, the period locks and the file is kept. The client can re-send the exact document you were given, and record in the period's notes which accountant received it and when.

Recording is continuous, so the window is real

Trips record automatically from the driver's phone all year, not for a chosen 12 weeks. The nomination is picked from what actually happened, and the odometer readings it rests on can be corrected before export.

What it costs your client

Drive

Free for the first 3 vehicles, then from A$3.49 per vehicle per month

Cruise, the plan with the export

A$10.99 per vehicle per month, including GST

  • Recording is free on Drive, including the automatic GPS logbook. The client can record a full 12 weeks before paying anything.
  • The export is the paid step, on Cruise at A$10.99 per vehicle per month, along with the ranked periods and the export blockers.
  • No hardware, no installer, month to month. Every new account starts on a 30-day Turbo trial for up to 3 vehicles.
  • Moving records across from a spreadsheet or an old system is included with a paid plan.

How to send a client to us

  1. 1

    The client signs up

On the web app or the phone app, free for the first three vehicles, no credit card. They add each vehicle by its plate and the profile fills itself.

  2. 2

    Trips record for 12 weeks

Automatically, from the phone already in the vehicle, with the driver classifying trips business or private. Nothing to install.

  3. 3

    The export comes to you

On Cruise the client nominates the period, clears anything Axlerun flags, and sends you the Excel or PDF logbook: downloaded, shared from the phone, or emailed. If you want to look inside the account, the owner can invite you as a business admin.

What Axlerun is not

  • Axlerun is software, not tax advice. It records and exports; whether the operating cost method or the statutory formula is the right treatment for a vehicle is your call with the client.
  • Axlerun does not hold an ATO class ruling. The export carries what the ATO's logbook method asks a logbook to show, and the ATO's page says a logbook can be kept electronically.
  • There is no accountant portal and no multi-client login. Each client has their own account and sends you their own export.
