Cost centres

Set up cost centres, split each vehicle's costs across them by percentage, and see the split on your fleet reports.

Cost centres let you charge each vehicle's costs to the part of the business that uses it. A vehicle can belong to one cost centre, or be split across several, and the four fleet reports show the split so your accountant doesn't have to work it out.

Owners and admins manage cost centres. Drivers don't see them.

Name them the way you do

Not every business says "cost centre". Open Settings, then your cost centres, and tap Settings to open Cost Centre Settings.

  • What You Call Them: the name used across the app instead of "Cost centre", such as "Department" or "Division".
  • Default: the cost centre used for any vehicle that has no split of its own. Leave it as None and those vehicles show as Unallocated.

Once you rename them, the Settings row, the vehicle's Manage grid and the reports all use your name. The steps below say "cost centres" for short.

Add a cost centre

  1. Open Settings then your cost centres, and tap + Add.

  2. Give it a Code and a Name, such as "OPS" and "Operations".

  3. If it sits under another one, pick the Parent. Add a Description and, if your accounts system has its own code for it, the External Ref.

  4. Leave it Active and save. To retire one later, switch Active off rather than deleting it.

Split a vehicle's costs

  1. Open the vehicle and, in its Manage grid, tap Cost Centres.

  2. Tap Edit Split. Add one or more cost centres and give each a percentage.

  3. Check the Total reads 100%, then tap Save Split. A split that doesn't add up to 100% can't be saved.

A vehicle used by one team gets a single cost centre at 100%. A shared vehicle might be 60% Operations and 40% Finance.

Every change is kept. The vehicle's History shows its earlier splits and when they changed, so last year's costs still tell last year's story.

Cost centres on your reports

The four fleet reports show each vehicle's cost centres, on screen and in the CSV and PDF exports:

A split vehicle reads like this: "OPS Operations (60%); FIN Finance (40%)". A vehicle with no split shows your default cost centre, or Unallocated if you haven't set one.
