Book a vehicle

Book a pool vehicle for the time you need it, see which vehicles are free, and what the messages mean when a time can't be booked.

Available onTurbo

Can't find this in your app? Your business owner can switch the Pool Bookings module off, which hides it for everyone — there's no message when that happens. An owner or admin can turn it back on in Settings → Business settings → Active Modules.

Booking holds a pool vehicle for you from a start time to an end time. Drivers book for themselves; managers can also book for a driver.

Book a vehicle

  1. On a phone, Home carries a pool section headed NEXT BOOKING, or CURRENT BOOKING while you have a vehicle out. Book and My Bookings sit side by side underneath it. Tap Book. On the web app, open Pool Bookings and choose Book a vehicle.

  2. Pick the Pool. If you're in only one, it's already chosen.

  3. Managers: pick the Driver you're booking for. The booking is theirs, and they're told you made it.

  4. Set the Start and end. The start opens on the next time the Booking Rules allow, so you rarely need to change it for a booking that starts soon.

  5. Choose a vehicle from the ones marked Free for this time. Any tags the pool gave it, such as "Ute" or "tow bar", show under the plate.

  6. Add the Purpose and, if you use one, a Reference such as a job or project number. Your business may require a purpose. Tap Book Vehicle.

You'll get an email confirming the booking. If your business has calendar invites switched on, it comes with an invite for your calendar. The booking gets a number of its own, shown as #1043 or similar on the booking and in every list, which is the thing to quote when you ring the office about it.

When a time can't be booked

Axlerun checks the time against the pool's rules before it saves. The common messages:

  • Overlap. The vehicle is already booked for part of that time. Pick another vehicle or move your times.
  • Turnaround. The vehicle is free, but too close to the end of the booking before it. The pool keeps a gap after each booking to clean and refuel.
  • Outside hours. Same-day bookings have to start after the earliest start and be back by the latest return. A booking over more than one day isn't limited by these hours.
  • Weekends. The pool doesn't take weekend bookings.
  • Too long, too far ahead, or too many. The booking breaks a limit on length, how far ahead you can book, or how many bookings one driver can hold.

Each rule is explained in Booking Rules.

Can't see any vehicles? The pool may have none you can book right now, for example when they're all out of service. If no vehicle shows at all, ask your fleet manager to add you to the pool.

Overriding a rule (managers)

Managers can book past the turnaround gap and a driver's booking cap when it makes sense, such as a quick swap at the depot. Axlerun shows what the booking breaks and asks for a reason. Tap Override and Save to book it. The reason is kept on the booking.

Expiring leases

If the vehicle's lease is ending soon, a warning shows when you book it. The warning is there so nobody is caught out when the vehicle has to go back. See Leases and ownership.

Next: check the vehicle out and back in
