Export your ATO logbook

Produce the Excel or PDF logbook your accountant needs — for one vehicle or the whole fleet — and either save it, share it or have it emailed to you.

Can't find this in your app? Your business owner can switch the Logbook module off, which hides it for everyone — there's no message when that happens. An owner or admin can turn it back on in Settings → Business settings → Active Modules.

To use the logbook method for a work vehicle, the ATO expects a record covering a continuous 12-week period that's representative of the year's travel. For each trip that means the date, the odometer reading at the start and end, the distance, and what the trip was for — plus odometer readings at the start and end of the whole period. Kept properly, that logbook stays valid for five years.

Export the logbook

  1. Go to Reports and choose FBT Logbook Export.

  2. Choose the scope — your entire fleet, or one vehicle.

  3. Set the date range you need. For a logbook period, that's your continuous 12 weeks.

  4. Tap the download icon to save the file, the share icon to send it through any app on your phone, or the mail icon to have it emailed to your account.

The file is an Excel spreadsheet (.xlsx) named for the scope and the date it was generated — so fbt-logbook-fleet-2026-08-12.xlsx and its per-vehicle equivalents don't overwrite each other in your downloads folder.

Accountants generally prefer the spreadsheet to a PDF — they can sort it, total it and drop it straight into their own working papers. If yours wants something else, send the .xlsx and let them convert; the data is all there either way.

Before you export

You don't have to guess whether the logbook is ready — the FBT card on the Logbook tab lists exactly what's holding it up, worst first, and most of those rows take you straight to the fix.

  1. Clear the unclassified queue. Trips that were never marked business or private are the most common gap in an exported logbook.

  2. Put purposes on your business trips. A business trip without a purpose blocks the export. The blocker takes you to a bulk-fix screen so you can do the lot in one pass.

  3. Check the odometer readings at the start and end of your period look right. If recorded kilometres and the odometer delta disagree, Axlerun flags the variance.

If the export is missing trips

Trips only appear once they've finished recording and synced. If something looks absent, check that the trip closed properly and that it's on the vehicle you expect — a trip recorded against the wrong vehicle won't show up in that vehicle's export.
